Privacy Statement

1. CONTACT DETAILS OF THE PROCESSING PARTY 

1.1 

Personal data of (potential) clients are processed by Lynn Diepenbroek (Freelance), available at coaching@lynndiepenbroek.nl

2. OBTAIN PERSONAL DATA 

2.1 

When I enter into an agreement with a client or someone shows an interest in an agreement, this person provides me with personal data. This can be done, for example, during a conversation, by email, by telephone or in another way. It is also possible that I obtain personal data from third parties (in the context of, for example, a coaching process or discussion group), via, for example, a ticket service. 

2.2 

I refrain from purchasing personal data through third parties and anything that resembles this. 

 

3. PERSONAL DATA AND PURPOSES 

3.1 

I process the following categories of personal data and information flows associated with a person: 

  • Name and address details 

  • Contact information, such as email address and phone number 

  • Date of birth 

  • Gender / Gender Identity 

  • Data on relational and sexual contacts 

  • Mental health data 

  • Work situation and income 

  • Competences and areas of interest 

  • Conversation Reports 

  • Content of communication 

  • Financial Exchange Overview 

3.2 

I process this personal data for various purposes, such as: 

  • Maintaining contact 

  • Offering a personal coaching trajectory 

  • A good and efficient service 

  • Client base management 

  • Carrying out administrative actions, such as planning 

  • Improving my services 

  • Reporting and analysis for accountability to clients and the improvement of services 

  • Billing 

  • Collecting money and taking collection measures 

  • Marketing (by agreeing to this privacy statement, the client agrees to be send digital newsletters, from which the customer can unsubscribe at any time, in accordance with the GDPR) 

  • Compliance with legal obligations 

  • Conducting disputes 

 

4. STATEMENT 

4.1 

Personal data are processed in order to perform on the agreement with the client, with regard to the coaching process or the established agreement. These personal data can be processed to meet the requirements set by third parties, such as, for example, a professional group. Personal data may also be processed in order to comply with a legal obligation, such as, for example, obligations based on tax law. 

 

5. PROVISION TO THIRD PARTIES 

5.1 

In the context of my services, personal data may be provided to third parties. For the aforementioned purposes, services from third parties can be used, such as: 

  • IT suppliers 

  • Accountant 

  • E-mail program 

  • Other third parties who are involved in the coaching process. 

5.2 

These third parties may also only process the personal data provided for the purposes as stated under point 3. Personal data could also be provided in the context of a legal obligation or court order. I do not provide data from a client to third parties for commercial or charitable purposes and I am very careful with the privacy of my clients. 

5.3 

Personal data can be stored by third parties outside the EEA (European Economic Area) when LinkedIn or Facebook is used in my contact with a (potential) client. These parties are “EU-US Privacy Shield” certified, so that they will comply with European privacy regulations. 

 

6. STORE AND SECURE 

6.1 

I do not store personal data longer than necessary for the purposes stated in this privacy statement. This means that personal data is kept for as long as it is necessary to achieve the relevant goals. Certain data must be kept longer, because I have to comply with legal retention obligations, such as the fiscal retention obligation. 

6.2 

I think it is important that personal data is protected against loss or unauthorized access by third parties. That is why I have taken appropriate security measures, including: 

  • Work computer encryption 

  • Virus and ransomware protection on my devices 

  • Password that takes effect when the computer has not been used for 4 minutes 

  • Secure passwords generated by a password manager 

  • Multi-factor authentication on my digital calendar and e-mail 

  • Encrypted storage of personal data and session notes 

  • Avoiding the use of apps that spy or of which that's questioned (like ZOOM) 

  • Avoiding social media in relation to my work as a coach. 

6.3 

In line with my conviction about privacy and self-determination, my website does not use cookies. 

 

7. RIGHTS OF (POTENTIAL) CLIENTS 

7.1 

Every (potential) client has the right to request me to inspect their personal data. Within one month after receiving this request, the person will receive an overview of the personal data that I have. If this reveals inaccuracies, the (potential) client can request that the data be adjusted, supplemented, deleted or protected. The person can also request the transfer of their personal data or they can object to the processing of their personal data due to special personal circumstances. Questions about this privacy statement or a request about the processing of personal data can be addressed to Lynn Diepenbroek, processing party (see point 1). 

7.2 

If a (potential) client has a complaint about the processing of their personal data, I urgently request that you contact me. If we cannot resolve it together, the (potential) client has the right to submit a complaint to the privacy supervisor, the Dutch Data Protection Authority. 

 

8. CHANGES 

8.1 

This privacy statement can be adjusted by me. New versions are always published here. It is recommended that you consult this statement regularly in order to be well aware of any changes.
